If you have 2 documents, versioning will happen if you refer to something from a different document. When using 2 documents, you have to specify the version you'll be using. If there is no version on a document, then you can't use it's assemblies or parts in another document.
When designing larger projects, you tend to complete certain aspects of the design. Using 2 or more documents gives the system a state of stability and is considered a good thing.
If you & your friend are designing something, if everything is in one document, they could change something that would ripple through the whole project and disrupt other stuff. This is not desirable. Breaking a project up into multi-documents is the ultimate goal for a design project.
The assembly colors that aren't updating; is it referencing something from another document?
When starting out in OS try to keep everything inside one document, create multiple parts inside a part studio and learn OS assemblies.
I really like the assemblies inside OS but they are totally different than SW. Assemblies in OS inherit from sub-assemblies; there is no explode over here which is a good thing.
In OS you can define an air cylinder that actuates and add it to a library, use that assembly inside a linkage assembly and then add the linkage to a piece of automated equipment with everything moving correctly defined using 3 different assemblies. The automated equipment inherits motion from the linkage which inherits motion from the cylinder. This is such a simple concept and works great inside OS.
