New Students in OnShape Classroom can see Old Students' Documents

Hello there,

I created a new OnShape Classroom for this school year. However, the students joining can see/edit/copy documents from the prior school year (although the old class has been archived). Is there a way to limit the access for these documents?

    Hi Haley,

    Did you make a new class, or a new classroom? If you made a new class inside your existing classroom, that is great. You just need to make sure documents are not shared with your whole classroom. If that's the case, students will be able to see those documents. When viewing your documents in Onshape, you can click a document and then open the Share details panel to see if you've shared a document with your whole classroom.

    Hi Matt,

    Here's more information about the situation: The documents I'm referencing are OnShape documents that were created/shared by students within assignments from the prior school year (where students begin with a new document or begin with a copy of selected document).

    Starting this school year, I created a new class not classroom and archived the old classes. (Is there a "Back to School" article that walks through advice or steps to take in order to start fresh with a new school year?)

    I followed your advice to check each document individually. I noticed that each of the documents are owned by the Classroom, which is probably why the new students are able to see the old students work. In order to avoid this, should I create a new classroom? If so, can you please share resources to show me how. I have been unable to find documentation to find this option and/or walk me through the steps. (Any reference to the Instructor Community returns "Page Not Found".)

    Hi Haley,

    We're getting closer. I hope this isn't a bug, but rather just some nuance in how Onshape shares documents.

    I think you're doing it right. You just need to create a new class. Your one classroom will be sufficient to manage all of you students, classes, and assignments year after year. The only documents that new students should be able to see are documents explicitly shared with the classroom, or attached to published assignments in any published classes they are members of. Just being owned by the classroom shouldn't make the documents visible to classroom members.

    Thank you for your help and support through this process. I think we are on the same page. I've checked the resource you've provided and still unable to find what I am doing wrong. I would love to hop on a call with you to see what I might be missing! I genuinely appreciate the offer. I am in Thailand so scheduling a call may prove to be difficult.
